
The Client
Our client provides IT services to the Telecommunications industry. They required a solution that would improve their document workflow while utilizing advancements in document technology. In particular, our customer was looking for greater efficiencies in the way they share documents across their network and the Internet. Their top priority was learning about a document workflow solution that would seamlessly integrate into their existing network.
The Challenge
Prior to implementing our solution, our customer was transporting important project planning documents between office locations with a courier service. The time and expense involved in couriering and handling these documents had always been considered a necessary an unavoidable cost. The client soon realized the possibility of a solution that could improve this process but needed further assistance determining the solution. Our value proposition to the client was that we could help them work smarter, not harder. We proposed that by integrating Ricoh hardware and software into their networks and overlaying document management applications, they could make a big improvement to their organizations efficiency. As we began to demonstrate what Ricoh solutions had to offer, they began to realize the possibilities.
Our client soon realized that Ricoh is not simply a copier/printer company; but a provider of document workflow solutions. We helped our client understand that Ricoh products are capable of running scanning, printing, and scanning across a network which allowed for efficient input and output of documentation across their network. Our client was particularly impressed with the breadth of products and how Ricoh could help their businesses better manage their document workflow.
The Solution
Our client required a solution that would quickly and efficiently move documents between locations without having to recreate them. In the past, they were forced to send documents by courier to their destination. Since our client already had a desire to improve their business process as well an established network, we demonstrated how easily our Global Scan, and ScanRouter with LDAP technologies, would help eliminate the costly courier service and improve overall efficiency.
As a first step, we demonstrated how our Aficio 1035 and 1075 multifunction products (MFP) could be seamlessly integrated into their network while providing quality printing and copying. Furthermore, these two systems were capable of meeting their current document workload while leaving plenty of room for growth over the term of the contract.
Our client quickly realized that we had their best interests in mind and they trusted us to provide them with a total document solution. We were able to prove that our solution would allow efficient input and output of office documents, and our client also acknowledged that our expanded capabilities set us apart from the competition. In fact, our expanded capabilities virtually eliminated document couriering and reduced response time for requests for documentation.
Specifically, our client benefited from ScanRouter Pro and Global Scan because it allowed them to send hardcopy documents directly from a Ricoh MFP to virtually any place on the corporate network. Our client was impressed that they could now route documentation from an MFP to LAN PC's, WAN networks, client fax machines and email addresses.
Our client required secure transmission of documents and Global Scan's ability to use LDAP for name validation was exactly what they needed. LDAP now allowed our client to access their corporate email address book for secure transmission of documents directly from the MFP control panel. Now that our client felt comfortable with how Ricoh's solution securely transmitted documents, they knew they had a total solution that would better manage their document workflow from start to finish.
The Result
Our client quickly enjoyed an immediate savings with the improved process of sharing documents and no longer had to waste money on a courier service. Also, our solution met their current high internal document production demands and left room for future growth. The Ricoh solution met all the client requirements and streamlined their document workflow process seamlessly. After the successful installation was completed, our client revealed that Ricoh helped them understand much more about document solutions and how important Ricoh's team support was for implementing the solution. |
